Stage 3 – Build the Site Map and Asset Register for Each System and Premises

Asset-specific reporting is one of the most challenging aspects of maintenance management. While engineers can describe the work they have carried out, linking each activity to the correct individual asset requires structure, discipline and the right technology. Accurate asset-level reporting is essential if clients are to benefit from a transparent and reliable service history.

Our asset registers catalogue every item that forms part of the mechanical and electrical systems. Each asset is assigned a unique identification number and is mapped to the correct premises, system type and location using the personalised site map. During the survey, the data plate is captured along with the working height and current operational status. As reports are submitted through the Log-Book Portal, the asset-specific service history builds automatically over time.

Capturing the data plate image ensures accurate ordering of parts before maintenance work begins. This proves invaluable when assets are mounted at height or in difficult-to-access locations. The combination of accurate mapping, structured data capture and real-time updates allows clients to monitor equipment performance with a high degree of confidence.

The asset register also includes options to support accounting valuations, enabling assets to be assessed using realistic replacement values consistent with their remaining service life. All registers are fully navigable through our Log-Book Portal interface, ensuring clarity for engineers, caretakers, auditors and management teams.
